One Customer Email, Three Teams, One Approval Workflow

A broadband outage is affecting customers across part of a region. The provider already has an incident procedure and an email template.

The network team has updated the restoration estimate. A contractor has the latest repair information. The communications team needs to turn those facts into a clear customer update.

Each team knows something the others need. Together, they must agree what the email should say.

One place to review the message

When comments and approvals sit across separate messages and documents, someone has to bring them together. If the estimate changes, they may have to circulate the wording again and check who approved which version.

In this example, the provider has already set up its approval process in CommsPliant. This update requires approval from Network Operations, Communications and an invited contractor with the appropriate access.

The editor prepares the email from the existing template and records the incident context. The restoration estimate is included in the wording being reviewed.

All three participants see the same version. They can comment, request changes and approve it. The person who created or edited the version cannot approve their own work.

Less chasing, a clearer record

If the wording changes, the new version goes through the required approvals. Earlier versions remain available in the history.

Once approved, the email can be generated and sent through the provider’s configured setup, connected to its existing systems.
