A renewal email explains a premium change. The PDF still contains an earlier explanation, while the customer portal displays a different amount. The customer asks which one to rely on, and the service team has to investigate both the wording and the underlying data.

Claims correspondence raises a related question: did the letter use the approved wording, and was it changed manually before it was sent?

CommsPliant connects template versions, reviews and approvals with their use in an integrated policy or claims workflow. Your existing systems supply the policy information and determine which communication is needed.

Communications to bring into a controlled workflow

  • Renewal notices: Review premium explanations, cover changes, renewal instructions and relevant payment information across the affected email, PDF and letter templates. Include portal wording in the implementation scope where it is maintained separately.
  • Claims correspondence: Govern templates from the first notification of loss through acknowledgement, information requests, decisions and closure. Review changes to explanations and complaint information for the relevant stage, and agree how case-specific additions are checked before sending. Claims decisions remain within your claims process.
  • Policy updates and endorsements: Identify the templates affected by a change in cover or policy terms. Keep the approved explanations connected to the relevant product, policy period and effective date through the agreed workflow.
  • Cancellation, non-renewal and lapse notices: Keep each notice type and its approved wording identifiable. Agree the applicable timing, reasons and sending evidence with your legal and operations teams for the relevant product and jurisdiction.
  • Product and language variants: Bring the affected variants through the agreed review process. Where jurisdiction-specific wording is needed, record its intended use and agree how the integrated system selects it.

An older version can still be appropriate for an existing policy or claim. The version of the letter template and the version of the contractual cover wording answer different questions; a newly approved letter may need to refer to earlier policy terms. Agree how those references are connected.

Example workflow: revising a renewal explanation

An illustrative workflow, not a customer case study.

  1. Product and Operations identify the affected products, languages and channel templates, including any separately maintained portal wording. They record which renewals the change should apply to.
  2. Reviewers check the revised explanation and preview representative outputs with example policy data. An authorised approver signs off the final template versions.
  3. The connected renewal process selects the appropriate approved versions under the agreed product and effective-date rules. It supplies the policy data, premium values and dates for rendering.
  4. The implementation links each generated item to the renewal or communication reference, template version and generation timestamp. Agree how to trace the input data used at that time if a later review requires it.
  5. The existing delivery workflow sends the communication. Its sending record and any available delivery status are associated with the communication reference through the agreed integration.

Premium calculations and scheduling remain with your insurance systems. During implementation, agree how channel updates are coordinated and how mismatches are checked before release. Template control alone cannot correct conflicting source data.

Make a communication easier to investigate

When a customer queries a renewal explanation or claims letter, authorised teams can trace the generated communication to its template version and approval history. The implementation should also connect the policy or claim reference and any records needed to explain the case-specific content.

If someone changes the rendered letter in another tool before sending it, its original template record does not explain that later edit. Agree how those changes are reviewed and how the final issued document is retained or referenced.

Full personalised documents can be retained under the agreed storage model. If later review relies on reconstruction, it needs the original inputs and relevant rendering dependencies as well as the template; a hash alone cannot recreate the document.

Generation, sending, delivery and reading are separate events. Agree which evidence your notice requires and which records the connected providers can supply.
