When an approved change has to reach the right communications

A fee explanation may appear in an account email, a PDF statement, a customer letter and an online banking portal. If those versions are maintained separately, an email can explain the new fee while a statement or portal still describes the old one.

When a customer questions the difference, the team needs to establish which wording applied to that product and customer, which version was used and who approved it. Knowing which template is current today does not answer what happened in that earlier communication.

CommsPliant provides a controlled workspace for these templates and a connection between their approval history and their use by integrated systems.

Communications to bring into a controlled workflow

  • Fee and charge notices: Coordinate wording across the affected email, PDF and letter templates while amounts and customer selection remain with your existing systems.
  • Terms and product updates: Review changes for the relevant products, customer groups and languages. Agree how effective dates and the appropriate approved versions are selected by the connected workflow.
  • Payment notices: Control explanatory wording while balances, payment dates and account details come from agreed data sources.
  • Arrears and support communications: Review the templates used at each stage of an existing collections or support journey, including changes to tone and required information. Account status and the decision to issue a notice remain with your operational process.
  • Onboarding correspondence: Manage the welcome email, agreement and supporting notices used in an account-opening journey. Agree a shared application or journey reference so records for the generated documents can be retrieved together through the client implementation.

A previous version may still be appropriate for an existing agreement or customer group. The goal is to use the version applicable to that communication, with a record of why it was selected.

Example workflow: updating a fee notice

An illustrative workflow, not a customer case study.

  1. Operations identifies the affected products, customer groups, languages and channel templates, then prepares the revised wording and records the reason for the change.
  2. Assigned reviewers check the wording and request amendments where needed. An authorised approver signs off the final version.
  3. Once the integration is established, the existing customer workflow selects the appropriate approved template under the agreed product and effective-date rules, then supplies the required data for rendering.
  4. The communication record links the customer or communication reference to the version and generation timestamp. Sending and delivery information can be recorded where the connected provider supplies it.

The fee calculation, affected customer selection and timing remain governed by your organisation's own systems and processes.

When a customer challenges a communication

Authorised teams can trace a generated communication to its approved template version and approval history. The implementation should connect the references needed to identify the relevant customer, account or journey.

Generation, sending and delivery are separate events. A generation record alone does not establish receipt or reading. Where a later review needs the complete personalised document, agree its retention or reconstruction requirements and the evidence returned by the delivery provider.

Start with one defined customer journey

For an initial implementation, identify the templates, data fields, reviewers, approvers and delivery system involved in one journey. Agree which evidence needs to be available and how long any retained documents must be kept.

Once that integration is established, routine wording updates within its scope can move through review and approval without requiring a software release for every change. Changes to data mappings or integration logic may still require engineering work.
